I. All ticket purchases, table bookings, sponsorship agreements and nominations must be completed through the official Rail Link LOOKOUT Awards booking or submission process. Submission of a nomination does not guarantee shortlisting, finalist status or award selection. A legally binding agreement shall arise only upon written confirmation issued by Rail Link. Rail Link reserves the right, at its sole and absolute discretion, to accept, decline or cancel any booking, nomination or sponsorship without obligation to provide reasons.

II. Ticket and table purchases entitle the purchaser to attend the Rail Link LOOKOUT Awards Gala Dinner scheduled for 5th November 2026 at Fota Island Resort, Cork, or at such alternative venue, date or format as may be determined by Rail Link. All packages include only those elements expressly confirmed in writing. Sponsorship entitlements are limited strictly to those agreed in writing and may not be transferred, assigned, shared or resold without prior written consent of Rail Link.

III. Full payment must be received by the date specified on the invoice or booking confirmation. Rail Link reserves the right to cancel any booking where payment is not received by the due date. Overdue payments may incur a 15% late payment charge. Attendance at the event or activation of sponsorship benefits shall not be permitted where payment remains outstanding.

IV. All ticket, table and sponsorship bookings are strictly non-refundable under any circumstances. In the event that the Rail Link LOOKOUT Awards are postponed for any reason whatsoever, including but not limited to circumstances beyond Rail Link’s control, government restrictions, venue unavailability, force majeure events, industrial action, public health emergencies or any other circumstance rendering the event impracticable, all bookings shall automatically transfer to the rescheduled event or to the following year’s Rail Link LOOKOUT Awards. No refunds, credits or partial repayments shall be issued. If the event is cancelled and not rescheduled within the same calendar year, Rail Link reserves the right to transfer all bookings to the next scheduled Rail Link LOOKOUT Awards event. Non-attendance for any reason shall not entitle the participant to a refund, credit or transfer.

V. Rail Link reserves the right to amend or vary the event date, venue, format, programme, content, speakers, categories, judging panel, award structure or event timing at its discretion. Such amendments shall not give rise to any right to refund, compensation or reduction in fees.

VI. Rail Link reserves the right to verify all nomination information submitted and to disqualify any entry that is incomplete, inaccurate, misleading or does not meet the stated eligibility criteria. Decisions of the judging panel shall be final and binding. Where public voting forms part of the awards process, Rail Link reserves the right to audit, adjust, suspend or void votes where irregular, automated, fraudulent or suspicious activity is identified.

VII. Rail Link and the venue reserve the right to refuse admission to, or remove from the event, any attendee without refund where behaviour is deemed inappropriate, unsafe, intoxicated, abusive, threatening, discriminatory, disruptive or otherwise in breach of venue policies or applicable law. Security searches may be conducted where required. No compensation shall be payable in such circumstances.

VIII. Tickets, tables and sponsorship packages are issued for the named purchaser and invited guests only and may not be resold, transferred for financial gain or commercially redistributed. Rail Link reserves the right to cancel without refund any booking found to be in breach of this provision. Rail Link may request additional information to verify bookings and reserves the right to cancel any booking suspected of fraud, chargeback abuse, unauthorised resale or misuse. Rail Link further reserves the right to limit the number of tickets sold to any individual or organisation.

IX. By attending or participating in the Rail Link LOOKOUT Awards, each attendee grants Rail Link the irrevocable right to photograph, film and record their likeness and to use such material in perpetuity for promotional, marketing, commercial and archival purposes worldwide without compensation.

X. Rail Link and the venue shall not be liable for any loss, damage, theft, injury, delay or inconvenience except where caused by proven gross negligence. Rail Link shall not be liable for any indirect, consequential or financial loss including, without limitation, loss of profit, business opportunity or reputational damage. Rail Link’s total aggregate liability arising out of or in connection with the Rail Link LOOKOUT Awards shall not exceed the total amount paid by the participant or sponsor.

XI. Rail Link reserves the right, at its sole discretion, to withdraw, amend or revoke any nomination, finalist status, award, ticket, table booking or sponsorship where the conduct, actions, public statements or associations of any participant, nominee, finalist, award recipient, sponsor or associated party are deemed by Rail Link to bring, or risk bringing, the Rail Link LOOKOUT Awards or the Rail Link brand into disrepute. Rail Link further reserves the right to remove branding, revoke participation rights or decline continued association with any party whose conduct is considered unlawful, unethical, misleading, discriminatory, offensive or otherwise damaging to the integrity or reputation of the event. No refund, compensation or liability shall arise in connection with any action taken under this clause.

XII. Personal and business information shall be processed in accordance with applicable Irish and European Union data protection legislation, including GDPR.

XIII. These Terms and Conditions shall be governed by and construed in accordance with the laws of Ireland and any dispute arising out of or in connection with the Rail Link LOOKOUT Awards shall be subject to the exclusive jurisdiction of the courts of Ireland. Participation in the Rail Link LOOKOUT Awards constitutes full acceptance of these Terms and Conditions.
